How We Handle Your Data
Payroll and bookkeeping mean trusting us with sensitive information: your employees’ details, bank information and your business numbers. Here is how we look after it, in plain language. The full legal version is our Privacy Policy.
What we ask for
Only what we need to do the work you’ve hired us for. For payroll that usually means employee names, Social Insurance Numbers, pay rates, hours and banking details for direct deposit. For bookkeeping, it means your financial records and access to your accounting software.
What we use it for
To run your payroll, keep your books, pay and track your bills and invoices, and file or remit what’s due to the CRA and WorkSafeBC on your behalf. Nothing else.
Who sees it
Only the people who need it for your work. We share information only with the services that help us do the job, such as your accounting and payroll software, with government bodies when we file or remit for you, and with your accountant when you ask us to.
We never sell your information.
How we protect it
We use encrypted connections, secure cloud software and access controls, and we limit access to people who need it.
How long we keep it
Payroll and financial records are generally kept for at least six years, because the CRA requires it. Enquiries that don’t turn into work are deleted when we no longer need them.
Your say
You can ask to see the information we hold about you, or ask us to correct it. Email [email protected] and we’ll reply within 30 days.
